EndNote Online

EndNote Online is the web companion that integrates with the desktop version of EndNote.

Use EndNote Online to:

  • synchronise your EndNote desktop library to EndNote Online and with other computers
  • share complete EndNote libraries, including attachments, or particular EndNote group/s with other EndNote users
  • use EndNote for iPad (which you can download from the iTunes Store).

EndNote Basic is a free, online account for non EndNote desktop users.  Non-ACU affiliated collaborators who do not have access to EndNote desktop software can use EndNote Basic to access shared groups.

When registering for an EndNote Online account, sign in using your ACU email address to access the full, premium version of EndNote Online. Note, registering and/or syncing via the EndNote desktop software provides 2 years free access to the premium version of EndNote Online.  To keep premium access to EndNote Online, make sure you run all updates and upgrade your software as new versions are released.

Use the Quick reference guide to learn more about EndNote Online.

Sync your EndNote library

If you work in more than one location, you might like to have the one EndNote library available on all your computers using EndNote's sync functionality.

Once you've signed up to EndNote Online, start the sync process from within the EndNote desktop software under Library > Sync or in your preferences.

  1. Go to Edit > Preferences > Sync
  2. enter your EndNote Online email address and password under EndNote Account Credentials
  3. double-check that the correct library file is chosen under Sync this EndNote Library
  4. select Enable Sync
  5. select Apply.

Syncing for the first time

Before you sync your desktop library to EndNote Online for the first time, note that any references that already appear in EndNote Online will merge with your current desktop library. Delete unwanted references from EndNote Online, or make sure the online library is empty before your first sync.

Syncing to a second or third computer

When syncing your EndNote library to a second or third computer for the first time, start by creating a new empty EndNote library by selecting File > New on your additional computer.  Then select Library > Sync to input your EndNote Online credentials and perform a sync.  All all existing references from your EndNote Online Library will be copied down into your blank EndNote desktop library.

Sharing a group

You can share a specific set of references from your EndNote library with up to 1000 colleagues. Please note that colleagues cannot view PDF attachments when you share a group.

To share a group you need to:

  1. sync your desktop Library to EndNote Online
  2. right click on the relevant group and select Share Group
  3. enter colleague's email addresses (these must be linked to an EndNote Online account)
  4. set permissions - read only / read and write.

Note:

  • Shared groups show only to the receiver in EndNote Online. They can be accessed via EndNote Desktop under 'Groups shared by others'.

Sharing a library

EndNote libraries cannot be shared on cloud services such as OneDrive, icloud or in shared networked folders as they can corrupt over time.

You can share a library either by emailing a compressed library version (.enlx file) to a colleague, or by using the sharing functionality within EndNote.

The sharer:

  1. syncs their desktop library to EndNote Online
  2. goes to File > Share and enters colleague's email address
  3. sets permissions - read only; read and write.

The receiver:

  1. accepts automatic email invitation and logs in with EndNote Online credentials
  2. opens EndNote on their desktop
  3. goes to File > Open Shared Library.

Note:

  • Syncing and sharing works with one EndNote library and one EndNote Online account.
  • You can share one synced library with up to 1000 other EndNote users (EndNote 21).
  • The whole library (and its related groups) is visible to anyone with sharing access.
  • PDF attachments are also shared, which might put you in breach of copyright if you share with users outside of ACU.
  • Shared library activity feed is available (under Sync status) where changes to a shared library by collaborators can be monitored.
  • This process relies on a library owner/administrator to regularly back-up the shared EndNote library.
